How to Avoid Running Out of Quota on Email Server?
1. Check Your Quota on Email Server.
- You can check the email quota being used with this feature.
2. Remove Messages in WebMail.
- This will help you to free up the space on the email server.
3. Remove Messages and Compact Mailboxes in Thunderbird Mail.
- The space occupied by the deleted messages would not be released if you do not perform this action.
4. Move Messages from Inbox/Outbox to Local Folders in Thunderbird Mail.
- This will help you to free up the space on the email server and keep the wanted messages in your hard disk.
Check Your Quota on Email Server
You need to keep track of your storage quota on the email server in order to avoid running out of disk space. Please follow the below procedures to check your email quota.
1. After launching your Internet browser, enter the URL of the main page of: Lingnan University WebMail main page: http://www.ln.edu.hk/webmail/. Then click the Checking Email Quota link.
2. The Email Storage Query login popup window would appear. Enter your username and password and click the OK button to proceed.

3. Your Email storage status page would appear and you can view the percentage of disk space used on the email server.

If the storage reached 80% or above, please follow the procedures of removing messages in
WebMail to free up server disk space.
Remove
Messages in WebMail
The easiest way to free up your storage space in the email server is to remove
your email messages in WebMail. To remove messages in WebMail, please follow the
below procedures:
1. Launch the Web browser (e.g. Internet Explorer) and browse to the main page of WebMail at http://www.ln.edu.hk/webmail/.

Click
the Staff icon to enter the Webmail for Staff.
3.
When
a security alert pop-up window appear, click Yes.
4.
Enter
your username and password and click the Log in button.

5.
The Inbox page and the list of your email messages will appear.

6.
Click
to select the checkbox(es) next to the message(s) you want to remove from
the mailbox.

7.
Click
the Delete to remove the selected messages.

8.
After
deleting email, click the ¡§+¡¨ icon beside the Mail.

Then
the list of mail folders will be opened:

Click
the Trash to open the trash folder folder

Then
remove the deleted email to completely remove the Deleted Message.
Remove Messages and Compact Mailboxes in Thunderbird Mail
The storage space would not be released even you deleted the messages from the
mailboxes. You need to compact your mailboxes after the deletion of messages.
1.
After
launching Thunderbird Mail, select the message(s) you want to delete
in the Inbox.
2.
Click
the Delete button on the tool bar to delete the message(s).

3. Select Compact Folders under File menu to free up the space in the
mail boxes.

Move Messages from Inbox/Outbox to Local Folders in Thunderbird Mail
If you want to keep your older messages for future use/reference, you
can save them into folders that you created locally by yourself.
1.
After launching Thunderbird Mail, select and right-click Local Folders on the left hand side.
2.
Click to select New Folder.
3.
In the New Folder dialog box, type in a name for the new
local folder and click the OK button and a new folder will
be created.

4.
Select the message(s) you want to move.
5.
Under the Message menu, select Move, then Local
Folders, then the local folder you created and selected messages
would be moved.
6. Remember to perform Compact Mailboxes in order to free up the storage. |
