Relocation of the Finance Office to Tsuen Wan

Dear Colleagues,

 

To support the growth of the University, the Finance Office will be relocated to 1902, 19/F, Nina Tower, Tsuen Wan, on 1 June 2024 (Sat) to free up space on the 1/F of Wong Administration Building to accommodate the increasing number of staff members of academic departments/supporting offices. Although we have made every effort to minimize the disruption of our services to the University community, we would like to ask for your understanding that we have to close the Finance Office in the afternoon of 31 May 2024 (Fri) (i.e. after 12:30 pm) to allow some time for my colleagues to pack for the relocation. Please accept our sincere apologies for the inconvenience caused.

 

We will resume normal operations in Tsuen Wan on 3 June 2024 (Mon). Having said that, your tolerance for some minor delays due to the transition is highly appreciated.

 

From 3 June 2024 onward, we have arranged daily courier services to transfer documents between Tuen Mun and Tsuen Wan. If you need to pass some physical documents (such as Payment Applications ("PAs") and memos) to us, you may put them into the Internal Mail Box of the Finance Office provided by the OCDM at AD104, which may be changed in accordance with the planning of the OCDM from time to time.  On the other hand, you are encouraged to use electronic means to communicate with us as much as possible.

 

For medical claims, there is no change at all. You may put your paper claim forms into the "Medical Claim Mail Box" at AD104 or submit your claims electronically where appropriate.

 

We understand that it will be very inconvenient for you to go to Tsuen Wan to get small value reimbursements under the petty cash system. Alternatively, you may claim such reimbursements using PAs, under which the money will be directly credited to your payroll bank account. In order to save your time in filling out the PAs as well as our processing time, you are strongly advised to group a number of small value reimbursements into one PA. In addition, we are now exploring with a bank to disburse petty cash using electronic means.  Hopefully, we can let you have the good news soon.

 

Lastly, despite the change in location, the Finance Office will continue to provide the best services to the University community.
